Driving across town for an estimate only to find an empty house is frustrating.
You lose time, fuel and an appointment slot that could have gone to another customer.
You cannot eliminate every no-show, but a simple confirmation process can reduce them significantly.
Confirm Immediately After Booking
As soon as an estimate is scheduled, send a confirmation.
Include:
- Date
- Time
- Address
- Your business name
- What the customer should expect
Do not make the customer search through an old conversation to remember when you are coming.
Send a Reminder the Day Before
People forget appointments.
A short reminder 24 hours before the estimate gives the customer an opportunity to confirm or reschedule.
For example:

Send Another Reminder Shortly Before Arrival
For some businesses, a reminder one or two hours before the appointment works well.
You can also send a message when the contractor is on the way.
Customers appreciate knowing whether they should expect you in five minutes or forty-five minutes.
Make Rescheduling Easy
Some customers skip appointments because cancelling feels inconvenient.
Give them an easy way to reschedule.
A customer who cannot make Tuesday at 2:00 PM may still become a paying customer Thursday morning.
Qualify the Lead Before Scheduling
Not every enquiry needs an in-person estimate.
Ask a few basic questions first:
- What work do you need?
- Where is the property?
- When are you hoping to start?
- Are you the property owner?
- Can you send photos?
This prevents unnecessary appointments with people outside your service area or looking for work you do not provide.
Avoid Scheduling Too Far in Advance
The further away an appointment is, the more likely circumstances are to change.
When possible, keep estimate appointments relatively close to the enquiry date.
Track Your No-Show Rate
Track:
- Number of appointments
- Number of cancellations
- Number of no-shows
- Source of each lead
You may discover that certain appointment times or lead sources produce more no-shows than others.
The goal is not to pressure customers. It is simply to make the appointment clear, easy to remember and easy to change when necessary.
